Why it is not a template

One person knows how everything works. That is the risk.

In almost every school, camp and club we look at, enrollment really runs on a spreadsheet, a shared inbox and one administrator who remembers which families get the sibling discount, who has not returned a form, and who always pays late. None of that is written down anywhere, which means a vacation is a crisis and a resignation is a year of damage.

We build your rules into the system — your programs, your discounts, your payment plans, your calendar — so the knowledge belongs to the organization rather than to one exhausted person.

Five years renting$30,000 Owning it once$7,500 You keep $22,500 At $500 a month, which is what a school this size usually pays today. In year six you are still paying nothing.
Straight answers

The four questions everyone asks us.

“Is it actually cheaper?”

Inside 15 months, yes — and it keeps being cheaper every year after. A school paying $500 a month for the tools above spends $30,000 over five years. Owning the same thing costs $7,500 once.

And there is no per-student pricing, so a good enrollment year does not raise your software bill.

“What about the bookkeeping?”

Tuition, deposits, aid, refunds and program fees post to the books as they happen, against a chart of accounts built for a school. Deferred tuition is handled properly across terms, and the arrears report is current rather than a month behind.

The board pack — enrollment, revenue per family, aid awarded, outstanding balances — assembles itself.

“Will it fit how we run?”

That is the whole point. Your programs, your terms, your sibling and multi-class discounts, your aid process, your permission forms, your calendar. We build to your year, not to a national platform's idea of a school year.

If you need something no software has, we build it. It is yours.

“What if you disappear?”

You hold the code, the family records and the accounts, in your name, on your own hosting. It keeps running whether or not we exist, and any competent developer can maintain it.

Student and family data never sits with a vendor who can change their terms.

How the work moves

Your pipeline, on one board.

Every record moves through these stages and the system knows what should happen at each one. Stage names and rules are changed to match how you talk about the work.

Automatic

What happens without anyone touching it.

Inquiry → information package, tour booking, and a nudge if no tour is booked
Application submitted → acknowledgement, document checklist, decision workflow
Acceptance → registration link, billing plan created, welcome sequence
Payment fails → parent notified and retried before it becomes an awkward conversation
Absence marked → guardian notified the same morning
Term ends → re-enrollment offer, then reminders, then a call list of who has not returned

Questions we get asked
We already use Jackrabbit or Procare. Why change?
If it fits, keep it. The schools we help are running a registration tool, a separate billing tool, a messaging app, a forms tool and a spreadsheet that reconciles all four — and re-typing the same family into most of them.
What about student privacy?
We scope exactly what the system stores and who can see each field, and it lives on your own hosting under your control rather than a vendor's. Photo permissions, medical notes and aid records get their own visibility rules.
What happens to our existing family and enrollment data?
We migrate families, students, enrollment history, balances and payment plans, and reconcile the totals against what you had. Nothing goes live until the numbers match.
Our administrator is not technical.
That is the normal case, and it is usually the strongest argument for building it properly. Training is part of the build, the sessions are recorded and stay yours, and the system uses your words for your programs.
Can it handle an association or a club rather than a school?
Yes — dues, member tiers, renewals and a member directory are a configuration of the same system. Camps, studios, sports clubs and professional associations all run on this shape.
What does it cost?
A one-time build between $5,000 and $10,000 depending on scope, quoted after a free hour. No per-student and no per-seat pricing.
